Terms of Service

Effective October 15, 2026

These terms are an agreement between you and Kilvington Digital ("we," "us," or "our") covering your use of the TruDocket desktop application (the "App"), the TruDocket license service, and the website at trudocket.com (together, the "Service"). By installing the App, purchasing a subscription, or using the website, you agree to these terms. If you are using the App on behalf of a company or organization, you confirm that you have authority to bind it, and "you" includes that organization.

1. What TruDocket does

The App reads hearing itinerary files that you supply, matches your assigned hearings against your Google or Microsoft calendar, accepts calendar invitations you approve, and prepares and sends reports about missing invitations to hearing office contacts and to managers you designate. The App runs on your computer. Our role is to license the software, keep it updated, maintain the shared hearing office contact directory, and provide support.

TruDocket is not affiliated with, endorsed by, or operated on behalf of the Social Security Administration or any other government agency. It does not access any government system; it works only with files you have already downloaded and with your own calendar account.

2. Your account and license

3. Subscriptions, payment, and cancellation

Referral credits

Subscribers receive a personal referral code. When someone you refer uses your code and pays their first invoice, we add a credit equal to one month of your subscription to your account. Credits are applied automatically to your future invoices, carry forward until used, and have no cash value. Credits cannot be transferred or redeemed for cash, and unused credits are forfeited if your subscription is cancelled or terminated. Referring yourself, or anyone who shares your payment method, does not earn credit. We may withhold or reverse credits that we reasonably believe were obtained through misuse, and may change or end the referral program with notice; credits already earned are honored.

4. Your data and your responsibilities

You own the itinerary files, calendar data, and reports you work with in the App. We do not receive them, as described in our Privacy Policy. Because this information stays on your computer, you are responsible for:

Because we do not create, receive, maintain, or transmit protected health information on your behalf, we are not a business associate under HIPAA and no business associate agreement is required for your use of the App. If your circumstances differ, contact us before using the App.

5. Acceptable use

You agree not to:

We may suspend or terminate a license for a material breach of these terms. Where practical we will give notice and an opportunity to correct the problem first.

6. Hearing office contact directory

The App includes a directory of scheduling contacts at Social Security hearing offices. The directory is compiled from submissions by users and their organizations and is maintained, reviewed, and distributed by Kilvington Digital. By submitting or correcting a contact, you confirm that the information is a business contact for a government office, that you obtained it lawfully, and that it contains no claimant or expert scheduling information. You grant Kilvington Digital a perpetual, irrevocable, royalty-free license to use, edit, and distribute submitted contact information as part of the directory. The compiled directory, as a collective work, is owned by Kilvington Digital and licensed to you for use within the App for as long as your subscription is active. We work to keep the directory accurate but do not guarantee that any entry is current; always review the recipient before sending a report.

7. Third-party services

The App connects to Google Calendar, Gmail, Microsoft Outlook, and Microsoft Graph using your own account, under those providers' terms. We are not responsible for changes to those services, interruptions in their availability, or actions those providers take with your account. Payments are handled by Stripe under Stripe's terms.

8. Updates and changes to the App

The App checks for and installs signed updates automatically to keep it secure and compatible with calendar providers. We may add, change, or remove features. If a change materially reduces the App's core functionality during a paid term, you may cancel and receive a pro-rated refund for the remainder of that term.

9. Support and availability

We provide support by email during business hours, Eastern time. We aim to respond within one business day. The license service and website may occasionally be unavailable for maintenance; the App continues to work offline for up to seven days after its last successful license check.

10. Intellectual property

The App, the website, the directory as a compilation, and all related trademarks, including the TruDocket name and logo, are owned by Kilvington Digital or its licensors. These terms grant you a license to use them, not ownership. Feedback you give us about the Service may be used by us without obligation to you.

11. Disclaimers

The Service is provided "as is" and "as available." We do not warrant that it will be error-free, that every hearing will be matched correctly, that every invitation will be detected, or that any report will reach its recipient. The App is an aid to your own review, not a replacement for it. You remain responsible for attending the hearings you are assigned. To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.

12. Limitation of liability

To the fullest extent permitted by law, Kilvington Digital will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost fees, missed hearings, or loss of data, arising from or related to the Service, even if advised of the possibility. Our total liability for any claim arising from the Service is limited to the amount you paid us for the Service in the twelve months before the claim arose. Some jurisdictions do not allow certain limitations, so some of these may not apply to you.

13. Indemnification

You agree to defend and indemnify Kilvington Digital against claims, damages, and expenses (including reasonable attorneys' fees) arising from your breach of these terms, your violation of law, or your handling of claimant or other third-party information in connection with the App.

14. Termination

You may stop using the Service and cancel your subscription at any time. We may terminate or suspend your license for breach as described in section 5, or discontinue the Service entirely with at least 60 days' notice and a pro-rated refund of any prepaid fees. On termination, the license ends and the App will stop processing itineraries; your local data remains on your computer for you to delete or keep.

15. Governing law and disputes

These terms are governed by the laws of the State of North Carolina, without regard to conflict-of-law rules. Any dispute will be brought in the state or federal courts located in Lee County, North Carolina, and you consent to their jurisdiction. Before filing a claim, each party agrees to try in good faith to resolve the dispute by contacting the other in writing and allowing 30 days for a response.

16. General

These terms, together with the Privacy Policy, are the entire agreement between you and us about the Service and replace any prior agreements. If any part is found unenforceable, the rest remains in effect. We may update these terms; we will post the revised version here, update the effective date, and, for material changes, notify you by email or in the App at least 30 days before they take effect. Continued use after that date means you accept the revised terms. You may not assign this agreement without our consent; we may assign it in connection with a merger, acquisition, or sale of assets with notice to you.
